Privacy Policy
Privacy Policy
Effective 17 October 2026
This policy explains how Hostbip uses personal information when you browse our website, create an account, buy email or hosting, pay an invoice, manage a service or contact support. It also applies to people authorised to act for a customer. For questions or privacy requests, use Support tickets in the customer portal or the Contact page on our website if you cannot sign in. Identify the request as a privacy matter.
Information involved
We process the account and contact details you provide, such as your name, organisation, email address, phone number and billing address. Ordering may also involve domain names, selected plans, mailbox licence counts, billing periods, quotes, invoices, payment references, account-credit entries and the versions of policies accepted with an order.
Security and operational records may include sign-in events, session information, authentication settings, requests, IP addresses, browser information and recorded staff or customer actions. Support records include the information and attachments you choose to submit. Do not submit passwords, authentication codes, full payment-card details or unnecessary sensitive personal information in a support message.
Email and hosting services necessarily store or transmit the content you or your authorised users place in them, including messages, mailbox data, websites, files and databases. Account holders are responsible for ensuring that they have authority to upload or process other people's information through these services.
Why we use information
We use information to establish and protect accounts; prepare and fulfil orders; supply email and hosting; verify payments; maintain financial records; provide support; investigate faults, abuse or fraud; and meet applicable legal obligations. Account and transaction information is needed to perform the service contract or take steps you request before entering it. Some processing supports legitimate interests in securing systems and resolving disputes, subject to applicable rights. We rely on consent where it is required, including optional features that request it.
Agreement to service terms is separate from a choice about optional marketing or tracking. An essential service message, such as a security alert or invoice notice, is not dependent on marketing consent. We do not sell personal information.
Service suppliers and payment providers
We share the information needed for the service with the email or hosting platform responsible for delivery. This can include account identity, contact and billing details, a domain, plan and licence count. We may create an account on that platform so you can manage the purchased service. Content stored or sent using that service is processed by the infrastructure involved in delivering it.
When you choose a payment method, the payment provider processes the information required to complete and verify the payment. Hostbip retains transaction references and verified payment results. Enter card or banking credentials only in the payment provider's approved payment flow; do not send them to support. A payment provider's own notice explains its separate processing.
Authorised staff and suppliers providing infrastructure, security, communications or support may access information needed for their work. We may also disclose information when required by law or when necessary to address a security incident, abuse or a legal claim. Access is restricted according to the purpose and authority involved.
Cookies, security and international processing
Sessions and related technical storage keep you signed in, protect forms and maintain selections. Website preference and optional integration controls may also use cookies or similar storage. Use the site's available privacy controls to manage optional choices; blocking essential storage may prevent account or checkout functions.
Hostbip and its service suppliers may process information in countries other than your country of residence. The selected service and its infrastructure determine where content is processed. Contact us before ordering if you need a particular storage location, transfer arrangement or data-processing agreement; a general hosting or email order does not promise a particular data-residency arrangement. Applicable safeguards and legal requirements govern international transfers.
We use access restrictions, encryption and operational security controls appropriate to the systems involved. No system can promise absolute security. Protect your own credentials and notify support promptly if you suspect a problem.
Retention and your choices
We retain account, service and support information for the period needed to deliver services, resolve issues and meet applicable accounting, security or legal obligations. Financial records or evidence of an order may need to remain after a service ends. Copies may remain in restricted backups until their retention cycle ends. Closing or cancelling a service is not the same as requesting deletion of every associated record.
Export important content before cancellation or removal. Service deletion may remove access to mailbox or hosting content. Contact support to ask what can be recovered; a backup or recovery result is not guaranteed merely because the service was previously active.
Depending on the law applicable to you, you may request access to your information, correction, deletion, restriction, portability, or an objection to certain processing. You may withdraw consent for processing that depends on consent, without changing the lawfulness of earlier processing. Some requests are subject to legal exceptions. We may need proportionate verification of your identity and authority before acting, and will explain an applicable limitation. Ask support for human review of an account, payment or service decision you wish to challenge.
You may raise a concern with us and with the relevant supervisory authority. In Nigeria, that authority is the Nigeria Data Protection Commission at https://ndpc.gov.ng/.
